Hybrid events: a practical guide

How to integrate online participants and remote interpretation into one coherent event.

A hybrid event brings the people in the room and those connected remotely into a single experience. Done well, no one feels like they are “just online”. Done poorly, the two audiences seem to be attending different events.

The three essentials

Two-way sound. Online participants must hear the room clearly, and the room must hear the online contributions — with no echo and no lag.

Managed vision. A video mix (for example with vMix) switches between speakers, presentations and materials, so the online feed looks professional rather than a single fixed camera.

Remote interpretation (RSI). Online participants get the same interpretation channels as those in the room, integrated with the conference system.

Practical tips

  • Test the connection and sound ahead of time, not on the day.
  • Assign a dedicated technician to the online side.
  • Prepare a backup plan for the internet connection.
